This position supports the planning, coordination and execution of Greater Oklahoma City Chamber events through event logistics, attendee registration, sponsor fulfillment, vendor coordination and exceptional customer service. The Events Coordinator works collaboratively with Chamber staff, members, sponsors, vendors and community partners to ensure successful execution of Chamber events that advance the organization's mission and provide an exceptional experience for attendees.
Essential Functions
- Knowledge of event planning principles, event logistics and customer service best practices.
- Ability to coordinate multiple projects simultaneously while maintaining exceptional organization and attention to detail.
- Ability to communicate effectively with Chamber members, sponsors, vendors, volunteers and staff.
- Ability to build and maintain positive working relationships with internal and external stakeholders.
- Position requires a professional, diplomatic demeanor and exceptional relationship-building skills.
- Ability to exercise sound judgment, prioritize competing responsibilities and remain calm in fast-paced event environments.
- Must be able to travel independently. Reliable transportation and a valid driver's license are required. High amount of mobility is necessary. Travel may be required.
- Position requires extended periods of sitting in an office environment while utilizing a computer keyboard, monitor and mouse. Position may require extended periods of standing and walking during events.
- Must be able to lift and carry 30 pounds during event setup, execution and breakdown.
Principal Duties
- Coordinates logistics for Chamber events including attendee registration, sponsor communications, vendor coordination, event materials, onsite setup, execution and breakdown.
- Manages event registrations and maintains accurate attendee information within the Chamber's CRM database.
- Serves as a primary point of contact for event attendees, sponsors and vendors by responding promptly to inquiries via phone, email and online registration platforms.
- Coordinates sponsor fulfillment to ensure recognition and benefits are delivered according to sponsorship agreements.
- Assists with venue coordination, catering, audiovisual needs, signage, room setup and other event logistics.
- Leads registration operations during Chamber events, including payment collection and reconciliation with the Finance Department.
- Coordinates accounts payable and receivable related to Chamber events in partnership with the Finance Department.
- Maintains event supplies, signage, nametags and inventory needed to support Chamber events.
- Utilizes the Chamber's CRM and project management systems to coordinate event timelines, registration and communications.
- Assists with planning and execution of special events, networking programs, committee meetings and other Chamber initiatives.
- Provides assistance with front desk and switchboard coverage as needed.
- Performs other duties as assigned.
Job Requirements & Qualifications:
- Bachelor's degree in hospitality, event management, business administration, communications or a related field preferred.
- One to two years' experience in event coordination, hospitality, customer service or a related professional environment, or an equivalent combination of education and experience preferred.
- Excellent interpersonal, written and verbal communication skills.
- Excellent organizational skills with demonstrated project management, time management and multitasking abilities.
- Strong customer service skills with the ability to build positive relationships with members, sponsors, vendors and community partners.
- Experience working with CRM or event registration software preferred.
- Proficiency with Microsoft Office applications, including Word, Excel and PowerPoint.
- Willingness to work a flexible schedule, including occasional early mornings, evenings and weekends to support Chamber events.
